Learn to update names on an individual record through Student Look-Up.

This session is intended for post-secondary institutions active with Enrollment Reporting.

Transcript
Let's review how to update legal and lived names for an individual student. On our secure site, navigate to student look-up, search for the student and then click update student record under select edit option. On the update student record page, select other changes or re-enroll student from the drop-down menu. To update a student's legal first or last name, replace the existing text in the appropriate field. Once you leave the field, a new uneditable field will display with the previous name. If you accidentally add a name, you can reset it to the original name and the previous name field will be removed. For the optional lived name fields. you can enter up to 40 alpha numeric characters into each field. When you're finished making changes, click submit. The confirmation page will show the updated record information.

Lived names are also available in student look-up when adding an individual's record.

Please also update your student information system with any edits you make to prevent any errors or warnings in future file submissions.

So when should each field be used? The first and last name fields reflect the student's legal name on documents like a birth certificate, social security card and passport that are used to verify the individual's identity and for compliance reporting. The lived names is the students' preferred professional names used instead of a legal name and is optional. For example, the student's legal name is Yeonghui Doe, but the student goes by Kate, Antonio or the stage name Crystal Ocean. If you have questions on individual records, reach out to us.
