Learn to work the Student Records Missing from Clearinghouse tile of the Draft Completers List. Once this section is marked complete, a Graduates only file will be generated and any errors or warnings will be available in Enrollment Reporting’s Error Resolution for your submission data and submission data alternate roles to address.

In addition to the Financial Aid Officer role, you also need either the submission data or submission data alternate role to work this section.

To review programs with a graduated status for student records received from NSLDS, but are not in the Clearinghouse system in a graduated status, from the build your worksheet page, select the review and update button from the Student Records Missing in the Clearinghouse tile.

You can filter the available list by SSN, student name, OPEID, CIP code and credential level and apply filters. You can also sort the table columns. Select all records you want to update with the same program status and program status effective date and click update program information. Select the program status and program status effective date then click update program information. If the program status effective date is before before the program begin date for one or more of the records, this will generate an error in the graduates only file.

You can expand a row to see the college ID and if the record has been excluded from the completers list because the Clearinghouse shows a program has less than 30 completers based on the information provided by your school in the Clearinghouse database base. NSLDS could still have records flagged with this as meeting the minimum threshold of 30 completers as the Clearinghouse may be missing one or more graduated records. If you made updates to the record, it will display who made the update and when the update was made and the ability to undo the update to send the record back to the needs review tab.

To update an individual record or view more detailed information on a student's record, you can click on the student's SSN to view the student information, campus information and program information. You can update the program status and program status effective date fields on this page and select the update program information button. Once you get confirmation that your update was successful, you can select back to return to the list.

A student record may be presented multiple times if it was submitted under two different branches at your school.

When your school is finished with this section, select mark as complete and confirm you are finished.

A graduates only enrollment file will be generated at the branch level and go through the standard validations and error resolution on the web that your submission data and submission data alternate users are familiar with. You can also use our secure site student look-up tab to update these students or submit a separate graduates only file using the same method used to submit scheduled enrollment files, for example secure FTP.
