Welcome to your StudentTracker 3.0 analysis ready report. The purpose of this tutorial is to explain what the analysis ready report or the ARR is and its basic parts. Also known as the wide file format, the ARR transforms the detail report into a version containing one row per student. This report was created based on user feedback and is intended to make it easier for you to glean the insight you need to understand individual student postsecondary pathways. The ARR can be generated in conjunction with the student level detail report or as a standalone report. If you are with a district or a consortium, you can easily filter the ARR by high school and share it with your high school counselors. I recommend that you have your ARR available when you watch this tutorial. There are a lot of columns in the ARR, all of which have a purpose. Please remember that if a student has placed a FERPA block, FERPA stands for family educational rights and privacy act, on their post-secondary records, these records will not be included in the ARR. This does not mean that the student did not enroll in a postsecondary institution. It means that under FERPA, the Clearinghouse is unable to release the information in the ARR or detail report. Student information. Columns A through L contain the student information that you provided when you submitted your graduate's diploma file to the Clearinghouse. Current enrollment. Columns M through Z display data if the student is currently enrolled in a postsecondary institution as of the date the ARR was generated. Be mindful of the date you generate the ARR. If you generate it too early or too late for a term, say January 3rd or December 28th, you won't see very many currently enrolled students. First enrollment. Information on first enrollment is in columns AA, AB and AC and indicates whether the students' first postsecondary enrollment occurred during the first fall after they graduated high school or within the first year year or first two years after their high school graduation. If a student's first enrollment occurs during the first fall, it will be indicated by a "Y". The student will also be shown as having their first enrollment occur within the first year and within the first two years. If a student's first enrollment does not occur during the first fall or first year, but has first enrollment in year 2, the ARR will display an "N" in the first fall and first year columns and a "Y" in the year 2 column. If all three columns display "N", it means the student was not enrolled within the first two years after high school graduation. Let's look at columns AD through AP. These columns show the name of the postsecondary in institution as well as other information about it and the enrollment where the student first attended. Retention and persistence. The retention and persistence flags in columns AQ and AR identify whether the student has at least one enrollment in academic year 2. These flags are calculated only when a student has reported enrollment in academic year 1. Persistence will be indicated by a "Y" value whenever the student has an academic record in year 2 and a different institution based on OPEID code. Retention will be indicated by a "Y" whenever the student has an academic record in year two at the same institution based on the six-digit OPEID. There will never be an instance of a student having both retained and persisted. If a student has both retained and persisted, the student is only counted in the ARR as having been retained. Second year. Columns AS through BE show the student's second year enrollment information. Credentials earned. Columns BF through DF display the first three credentials earned by the student after graduating from high school. The following information is provided for each credential earned: credential level, date awarded, CIP code and major, college name and OPEID code. Enrollment pattern information. Columns CG, CH and CI show the number of postsecondary institutions the student attended and provide the following information. Column CG shows the pattern of enrollment prior to first fall enrollment, the postsecondary level (4-year, 2-year or less-than-2-year) of each institution at which the student was dual enrolled is indicated as well as any enrollments during the summer after high school graduation. Column CH shows the pattern of enrollment as of first fall providing insights on student mobility, the postsecondary level (4-year, 2-year or less-than-2-year) of each institution where the student was enrolled is indicated beginning with the first fall after high school graduation. Column CH displays the total number of institutions attended beginning with the first fall after graduation. Note the ARR may not include all postsecondary institutions a student attended. For instance, if a student attended two different institutions in their first year, only one will show in the ARR for first year. To see all institutions for a student, look at your detail report. Additionally, all information within the ARR and detail reports are based solely on non FERPA blocked records. Program code. The program code in column DJ returns the values provided in the student diploma file. Dual enrollment. Columns CK through CW show dual enrollment information for the most recent enrollment term prior to high school graduation indicating if the student took classes at a post-secondary institution while enrolled in high school. The term end date must be on or before the student high school graduation date for the student to be considered dual enrolled. Credentials earned. Columns CX through DG show the information on credentials earned during high school or within 30 days after graduating high school. The credential award date is compared to the high school graduation date provided in the diploma file to determine if the credential was earned within 30 days of high school graduation.
